This Privacy Policy explains how the SwimTool mobile application ("SwimTool", "the app", "we", "us", or "our") collects, uses, stores, and protects information when you use the app. We have written it to be clear and honest about exactly what the app does and does not do. By using SwimTool, you agree to the practices described in this policy.
SwimTool is a tool for swimmers to track personal best times, results, team membership, and training entries. In plain terms:
The developer of SwimTool is the data controller responsible for the personal information processed through the app. You can reach us using the contact details at the end of this policy.
When you first open SwimTool, the app signs you in using Firebase Anonymous Authentication, a service provided by Google. This assigns your installation a randomly generated anonymous identifier. No name, email address, phone number, or password is requested or created, and this identifier is not linked to your real-world identity.
We use this anonymous identifier solely to associate the swim data you enter with your app installation so that your data can be saved and synced across your own sessions, and so that access to your data can be restricted to you.

We collect this information only because you choose to enter it. We use it to provide the core functionality of the app: storing your swim data, displaying it back to you, and keeping it in sync across your sessions. This data is stored in Google Firebase Firestore, a cloud database service provided by Google (see "Third-party processors" below).
SwimTool offers an optional daily training reminder. If you enable it, the reminder is delivered using on-device local notifications scheduled by your device. These notifications are generated and stored locally on your device only. We do not operate a push-notification server, and no notification data is sent to us or to any third party for this feature. You can turn the reminder off at any time in the app or in your device settings.
We do not collect your name, email address, password, contact list, precise location, advertising identifiers, or device tracking data. The app contains no advertising and no third-party advertising, analytics, or behavioral-tracking SDKs.
Where data protection law (such as the EU/UK General Data Protection Regulation) applies, we rely on the following legal bases:

Google processes this data on our behalf as a data processor in order to provide these services. Google's handling of data is governed by its own terms and privacy and security commitments, which you can review in the Firebase Privacy and Security documentation and the Google Privacy Policy. We do not use any other third-party processors, and we do not integrate advertising or analytics providers.
The app provides options to contact us through WhatsApp or Instagram. These contact channels are entirely user-initiated: they are used only if you choose to open them. If you contact us through these services, your communication is handled by the respective third party (Meta Platforms) and is governed by that service's own terms and privacy policy, not this one. We have no control over the data practices of WhatsApp or Instagram.
Google Firebase stores and processes data on servers that may be located in countries other than the one in which you live, including the United States. This means your data may be transferred to and processed in jurisdictions whose data protection laws differ from those of your country. Where such transfers occur, they are carried out under the safeguards and contractual protections offered by Google for its Firebase services.
We retain the anonymous identifier and the swim data you enter for as long as you continue to use the app, so that your information remains available and in sync across your sessions. If you ask us to delete your data, or if your data is otherwise no longer needed, we will delete it from Firestore. Note that uninstalling the app does not by itself delete data already stored in Firestore; to have that data removed, please use the deletion process described below.
SwimTool is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. The app is suitable for use by teenage athletes. Because the app does not request names, email addresses, or other directly identifying information, it is designed to minimize the personal data involved. If you are a parent or guardian and believe a child under 13 has provided personal information through the app, please contact us so we can delete it.
Depending on where you live, you may have rights over your personal data, including the right to access the data we hold, to correct it, to request its deletion, and to object to or restrict certain processing. Much of your data can be viewed and edited directly within the app.
To request access to or deletion of your data, please reach out to us through the in-app Contact screen. Because your data is tied to an anonymous identifier rather than to a named account, please send your request from the same device and installation so we can locate and act on the correct data. We will respond to verified requests within the timeframe required by applicable law.
We use Google Firebase's security infrastructure, including access rules that restrict each user's data to their own anonymous identifier, to help protect your information. While no method of electronic storage or transmission is completely secure, we take reasonable measures to safeguard the data you entrust to us.
We may update this Privacy Policy from time to time. When we make material changes, we will revise the effective date at the top of this page and, where appropriate, provide notice within the app. We encourage you to review this policy periodically.
